1. Describe the event
- Where and when: country, city or region, preferred date, and whether the date can move.
- Who is attending: organization or group, event type, approximate audience size and age range.
- What the event needs: the role entertainment should play, the audience’s expectations and any content or humour boundaries.
- What the venue offers: venue name if known, room layout, stage access, sound setup and where the show fits in the program.
Mark unknown details as unknown. An honest outline is more useful than guessing about the room or the final schedule.
2. Compare fit before committing
For each possible performer, discuss suitability for the audience and event format, the requested style of humour, volunteer participation, timing, travel and technical needs. Ask which details are still needed to confirm availability and terms. A performer being a possible match does not mean they are locally based or available for your date.
